    Why You Need This Checklist

Data profiling is the most underestimated phase of MDM projects. Teams that skip or rush profiling consistently face cost overruns, timeline delays, and data quality issues post-go-live. This checklist ensures nothing is missed.

    Phase 1: Source System Inventory

  1. [ ] Identify all source systems containing master data
  2. [ ] Document system owners and data stewards per source
  3. [ ] Catalog data formats and access methods (API, DB, file)
  4. [ ] Note data refresh frequencies and latency
  5. [ ] Map current data flows between systems
  6. [ ] Document known data quality issues per source
  7. Phase 2: Structure Profiling

  8. [ ] Catalog all tables/entities containing master data
  9. [ ] Document column names, data types, and lengths
  10. [ ] Identify primary keys and unique constraints
  11. [ ] Map foreign key relationships
  12. [ ] Count records per table with growth trends
  13. [ ] Identify unused or deprecated columns
  14. [ ] Check for schema inconsistencies across environments
  15. Phase 3: Content Profiling

  16. [ ] Calculate null rates for every column
  17. [ ] Generate value frequency distributions
  18. [ ] Identify min/max/average for numeric fields
  19. [ ] Detect patterns in string fields (formats, prefixes)
  20. [ ] Check for default/placeholder values
  21. [ ] Identify encoding and character set issues
  22. [ ] Profile free-text fields for quality and consistency
  23. Phase 4: Quality Assessment

    Completeness

  24. [ ] Define mandatory fields per entity type
  25. [ ] Calculate completeness scores per source
  26. [ ] Identify records missing critical attributes
  27. [ ] Estimate remediation effort for incomplete data
  28. Accuracy

  29. [ ] Validate addresses against postal databases
  30. [ ] Verify identifiers (GTIN, DUNS, tax ID)
  31. [ ] Cross-reference with authoritative sources
  32. [ ] Sample manual verification for critical fields
  33. Consistency

  34. [ ] Compare same entities across source systems
  35. [ ] Identify conflicting values for shared attributes
  36. [ ] Check referential integrity across tables
  37. [ ] Validate hierarchical relationships
  38. Uniqueness

  39. [ ] Run duplicate detection on key matching fields
  40. [ ] Calculate duplicate rates per source
  41. [ ] Identify cross-source duplicates
  42. [ ] Estimate merge complexity
  43. Phase 5: Relationship Profiling

  44. [ ] Map entity relationships across sources
  45. [ ] Identify orphaned records (missing parents)
  46. [ ] Detect circular references
  47. [ ] Profile hierarchy depth and breadth
  48. [ ] Document relationship cardinality
  49. Phase 6: Volume & Performance

  50. [ ] Total record counts per entity type
  51. [ ] Data growth projections (1, 3, 5 years)
  52. [ ] Historical data volumes and retention needs
  53. [ ] Peak transaction/update volumes
  54. [ ] Storage requirements estimation
  55. Phase 7: Profiling Report

  56. [ ] Executive summary with key findings
  57. [ ] Data quality scorecards per source
  58. [ ] Recommended cleansing rules and priorities
  59. [ ] Data model design recommendations
  60. [ ] Migration effort estimates
  61. [ ] Risk register for go-live readiness
  62. [ ] Detailed appendices with profiling statistics
